This guide helps new members get from first login to first successful use of Contact Ground.

1. First Login Checklist

  1. Sign in and confirm your organization is selected in the org switcher.
  2. Open Profile and confirm your name, email, and phone are correct.
  3. Set your notification preferences in Profile and Member Notification Preferences.
  4. If your org uses scheduling, open Calendar and confirm your timezone and normal workflows.
  5. If your org uses invoicing, open Invoices and review your billing view.

2. Know Your Role

Your role controls what you can do. Common examples:

  1. Member: schedule resources, submit credit requests, view invoices.
  2. Instructor (CFI/CFII/DPE): all member tasks plus instructor-specific workflows.
  3. Operations: flight operations and resource readiness tasks.
  4. Accounting: invoicing, credits, billing workflows.
  5. Admin: organization-level setup and policy controls.
  6. Owner: top-level organization and subscription control.

Important:

  1. Admin does not automatically include invoicing or credit-request review.
  2. Members who need finance access should also have the Accounting role.

If something is missing in the UI, ask an admin to verify your role/endorsements.

4. Important Organization Settings You Should Know

These are set by admins/owners but affect your daily workflow:

  1. Flight Operations Mode (Manual vs Automatic)
  2. Invoicing Mode (Manual Invoicing vs QuickBooks Integration)
  3. Schedule limits and role exemptions
  4. Messaging mode options (individual, roles, endorsements, organization-wide)

Dispatch reminder note:

  1. Your personal preflight reminder timing only applies when the organization uses Automatic flight operations mode.

5. If You Get Blocked

  1. Confirm your active organization in the org switcher.
  2. Refresh the page after switching organizations.
  3. Verify your role and endorsements with an admin.
  4. Check your notification settings and verified phone/email state.
