This guide helps new members get from first login to first successful use of Contact Ground.
1. First Login Checklist
- Sign in and confirm your organization is selected in the org switcher.
- Open
Profileand confirm your name, email, and phone are correct. - Set your notification preferences in
ProfileandMember Notification Preferences. - If your org uses scheduling, open
Calendarand confirm your timezone and normal workflows. - If your org uses invoicing, open
Invoicesand review your billing view.
2. Know Your Role
Your role controls what you can do. Common examples:
Member: schedule resources, submit credit requests, view invoices.Instructor(CFI/CFII/DPE): all member tasks plus instructor-specific workflows.Operations: flight operations and resource readiness tasks.Accounting: invoicing, credits, billing workflows.Admin: organization-level setup and policy controls.Owner: top-level organization and subscription control.
Important:
Admindoes not automatically include invoicing or credit-request review.- Members who need finance access should also have the
Accountingrole.
If something is missing in the UI, ask an admin to verify your role/endorsements.

4. Important Organization Settings You Should Know
These are set by admins/owners but affect your daily workflow:
- Flight Operations Mode (
ManualvsAutomatic) - Invoicing Mode (
Manual InvoicingvsQuickBooks Integration) - Schedule limits and role exemptions
- Messaging mode options (individual, roles, endorsements, organization-wide)
Dispatch reminder note:
- Your personal preflight reminder timing only applies when the organization uses
Automaticflight operations mode.
5. If You Get Blocked
- Confirm your active organization in the org switcher.
- Refresh the page after switching organizations.
- Verify your role and endorsements with an admin.
- Check your notification settings and verified phone/email state.
